Order History

View all your past orders, track their status, and quickly reorder items you’ve purchased before.

Accessing Order History

To view your order history:

For a Specific Vendor

  1. Select a vendor from your dashboard
  2. Click History in the navigation menu
  3. View all orders placed with that vendor

From Navigation

  • Look for Order History or History in the main navigation
  • View orders from the currently selected vendor

Order History View

Your order history displays:
  • List of all past orders
  • Order date
  • Order number/ID
  • Vendor name (if viewing across vendors)
  • Order total
  • Order status
Orders are typically sorted by date (most recent first).

Order Details

Click on any order to view full details:
  • All products in the order
  • Quantities ordered
  • Prices at time of order
  • Delivery location
  • Order notes
  • Order status
  • Order date and time

Order Statuses

Orders may have different statuses depending on what the vendor updates:
  • Pending: Order submitted, waiting for vendor confirmation
  • Confirmed: Vendor has confirmed the order
  • Preparing: Vendor is preparing the order
  • Delivered: Order has been delivered
  • Completed: Order is fully completed
  • Cancelled: Order was cancelled
The specific statuses depend on how your vendor manages orders.

Searching Order History

If search is available:
  • Search by product name
  • Search by order number
  • Search by date range
  • Filter by vendor

Reordering from History

To quickly place the same order again:
  1. Find the previous order in your history
  2. Click Reorder or Order Again (if available)
  3. The products from that order are added to your current basket
  4. Review quantities and make any changes
  5. Complete the order
This is a fast way to repeat regular orders.

Copying Items from Past Orders

If full reorder isn’t available:
  1. Open the order details
  2. View the products in that order
  3. Manually add those products to your current basket
  4. Adjust quantities as needed

Viewing Order Timeline

For detailed orders, you may see:
  • When order was placed
  • When vendor confirmed
  • When order was prepared
  • When order was delivered
  • Any status updates from the vendor

Filtering Order History

Filter your orders by:
  • Date Range: Last week, last month, custom range
  • Status: Only show completed, pending, etc.
  • Vendor: If viewing across multiple vendors

Exporting Order History

If export functionality is available:
  1. Select the orders or date range you want
  2. Click Export or Download
  3. Choose format (CSV, PDF, Excel)
  4. Download the file for your records
Useful for:
  • Accounting and bookkeeping
  • Analyzing purchasing patterns
  • Reporting to management

Order Documentation

For each order, you can typically:
  • View order confirmation
  • Download invoice (if available)
  • Print order details
  • Save for records

Multi-Location Order History

If you manage multiple locations:
  • Order history is typically per location
  • Switch locations in settings to view that location’s orders
  • Each restaurant location has its own order history

Common Uses for Order History

Review Spending

  • See how much you’ve spent with each vendor
  • Track spending over time
  • Compare months or periods

Repeat Orders

  • Quickly reorder standard items
  • Maintain consistency in orders
  • Save time on frequent orders

Resolve Issues

  • Reference past orders when discussing with vendor
  • Verify what was ordered vs. what was delivered
  • Track missing or incorrect items

Record Keeping

  • Maintain purchase records
  • Support accounting processes
  • Audit trail for purchases

Tips

  • Reference order numbers: Use when communicating with vendors
  • Keep records: Export or save important order details
  • Regular review: Check recent orders for accuracy
  • Use for reordering: Leverage history to speed up repeat orders
  • Track issues: Note any problems with specific orders

Troubleshooting

Cannot See Order History

  • Verify you’re looking at the correct vendor
  • Check you’re viewing the correct location (if multi-location)
  • Ensure you have permissions to view orders
  • Try refreshing the page

Order Missing from History

  • Confirm order was successfully placed
  • Check if you’re logged into correct account
  • Verify order wasn’t cancelled
  • Contact support if order should be there

Cannot Reorder

  • Verify all products from that order are still available
  • Check that vendor still offers those products
  • Try adding products manually
  • Some products may be discontinued

Order History Best Practices

  • Regular review: Check orders weekly for accuracy
  • Document issues: Note any problems with orders in your own records
  • Use for planning: Analyze patterns to optimize future orders
  • Export regularly: Download records for accounting purposes
  • Compare invoices: Verify order history matches received invoices
